Privacy Policy.

Selah Systems ("we," "us") operates selahsystems.ai and the Kairos tax automation platform. This policy describes what information we collect through this website, how we use it, and the choices you have. We build software for tax professionals — we take confidentiality seriously because our customers have to.

Information we collect

• Demo requests. When you submit the demo request form, we collect your name, firm name, work email, and anything you tell us about your workflow. The form is processed by Formspree, Inc. on our behalf.
• Email correspondence. If you email us, we keep the correspondence so we can respond and follow up.
• Basic technical data. Our hosting provider (Netlify) logs standard request data (IP address, browser type, pages requested) to serve and secure the site.
• Free beta sign-up. When you download the Kairos free beta, we collect your email address, your tax software, and — only if you choose to give them — your name, firm name, phone number and a good time to call (when you ask for a setup call), the number of returns you prepare, and whether you want Kairos tips and tax-season updates. We also record where you came from (for example, a link's campaign name) and your IP address, which we use only to stop abuse of the free beta.
• Activating Kairos. When you enter your 6-digit code in Kairos, we record that your free beta started, the firm name on your license, and, while you use the free beta, how much reading Kairos did for you, what it cost, and when — never the documents' contents.

Your clients' documents during the free beta

Kairos runs on your computer and types into your own tax software. To read a document during the free beta, Kairos sends it through our server in the United States to our AI provider, Anthropic, for processing inside the United States. Our server stores nothing of a document's content and does not log it. Under Anthropic's Commercial Terms of Service, Anthropic may not train models on this content, and it is processed under Anthropic's Data Processing Addendum, which those terms incorporate. You remain responsible for your firm's obligations for client information, including any client consent you need.

What we don't do

• We do not sell or rent personal information. Ever.
• We do not use third-party ad networks on this site. Our pages use Google Analytics to understand how visitors use the site, and LinkedIn's Insight Tag to measure visits from our LinkedIn posts.
• We do not use your clients' documents to train any model, and our AI provider may not either (see above).
• We do not use the contents of documents shared with us for demos to train models or for any purpose other than the demo itself.

Demo documents

If you choose to share documents during a product demonstration — sample files or your own — they are used only to run that demonstration, are handled confidentially, and are deleted promptly afterward or on request. We encourage starting with sample documents; we will never ask you to share client data you're not comfortable sharing.

How we use information

To respond to your demo request, schedule and run demonstrations, answer questions, and — only if you ask us to — keep you informed about Kairos. For the free beta: to email your code and the download, start your license, stop abuse, and send a few short emails about your beta (for example, when it is about to end) — each with a link to stop them. Kairos tips and tax-season news go only to people who ticked the box for them. That's it.

Service providers

We use a small number of providers to operate this site: Netlify (hosting), Formspree (form processing), Google Fonts (typefaces), Vimeo (the product videos on our home and demo pages, which load from Vimeo's servers) and LinkedIn (the Insight Tag, above). For the free beta: Amazon Web Services (our server and our email, in the United States), Anthropic (reading documents, in the United States) and, if it is switched on, Cloudflare Turnstile (telling people from bots on the sign-up form), and Google Workspace (our team's email, where we receive sign-up notices). Each receives only the data necessary to perform its function.

Data retention

We keep demo-request information for as long as we have an active conversation with you or a legitimate business need. Free beta sign-up details are kept while your beta runs and for 12 months after it ends (longer only if you become a customer), unless you ask us to delete them sooner. When we delete them we keep only your firm's name, your email's domain and your license record, so the same firm can't start a second free beta. Copies of sign-up notices and other notes about your beta in our own team mailbox (Google Workspace) are deleted on the same request and on the same 12-month schedule. You can ask us to delete your information at any time by emailing arri@selahsystems.ai.

Security

This site is served over HTTPS. Information you submit is encrypted in transit. Access to submitted information is limited to the Selah Systems founders.

Your rights

You may request access to, correction of, or deletion of your personal information by emailing arri@selahsystems.ai. We respond to all requests within a reasonable timeframe.

Changes

If we change this policy, we'll update the effective date above. Material changes will be noted prominently on this page.
