SECURITY AND TRUST
Everything a CPA should know before trusting software with client documents, in plain language. If something here doesn't answer your question, email us and a founder will.
Client documents are used only to read and enter your data. They are never used to train any AI model.
Anything Kairos sends for AI reading travels over an encrypted (TLS) connection.
AI reading happens in the U.S., under a data processing agreement, and the provider keeps it only for a limited time before deleting it.
Selah Systems doesn't keep a central copy of your clients' data.
It does the typing. Every return passes through your team's review before anything is filed.
We show Kairos on demo clients by default. Bring your own documents only when you're ready.
HOW DATA MOVES
We'd rather tell you exactly what happens than make a promise that sounds better than the truth.
On your firm's computer, the way you already work. No portal, nothing to upload to a website.
Over an encrypted connection. During the beta they pass through our U.S. server, which doesn't store them, to an AI model in the U.S. covered by a data processing agreement. Not used for training. Deleted after a limited period.
The values are entered into the client's return in your tax software, on your computer.
You come back to a return ready for review. The judgment, and the filing, stay with you.
IT CHECKS ITS OWN WORK
After typing, Kairos reads each value back off the screen to confirm it landed in the right field. A field that doesn't match what was typed is flagged, not trusted.
For each client, Kairos keeps a record of which document box went to which field, what was read back, and what your team decided. You can print it.
YOUR TEAM STAYS IN CONTROL
When a value is unclear, Kairos doesn't fill it in. It flags it for your review, with the source, so questionable values reach your reviewers instead of your clients.

COMPLIANCE

Briefly, yes. Kairos runs on your firm's computer, but to read a document it sends the pages over an encrypted connection to an AI model in the United States. During the beta, the pages pass through our U.S. server on the way, and that server doesn't store them. That provider is covered by a data processing agreement, keeps the data only for a limited period before deleting it, and never uses it to train any model.

No. Kairos does the typing and stops there. Every return comes back to your team ready for review, and filing is always your firm's decision.
It doesn't guess. Anything illegible, ambiguous, or that doesn't add up is flagged for your review with the source, instead of being filled in.
Kairos is designed to support your §7216 obligations, and Selah Systems maintains a Written Information Security Plan aligned with IRS Publication 4557 and the FTC Safeguards Rule. We're happy to walk your firm through either on a call.
